Cancellation Policy
We know that unexpected changes can happen, and we're here to help make the process as smooth as possible. This page outlines everything you need to know about cancelling your booking including timeframes, refund eligibility, and important exceptions. Please review our policy carefully to ensure a clear understanding of your options and any applicable fees.
We are dedicated to providing all our patients with the highest level of care. To ensure our services remain accessible and effective, it’s important that appointments are respected and that cancellations are managed thoughtfully.
Why this Policy Matters
When you book an appointment with us, you are reserving valuable time with a dedicated clinician. Missed appointments or late cancellations prevent us from offering that time to another patient in need. This policy helps us to manage our schedule fairly and maintain the quality of service you expect.
Cancellations and Rescheduling
If you need to cancel or reschedule your appointment, we kindly ask that you provide at least 24 hours’ notice. This allows us time to offer the appointment to someone else who may be waiting.
- More than 24 hours’ notice: No charge will be applied
- Less than 24 hours’ notice: A late cancellation fee of £35.00 may apply
- No-show (non-attendance without notice): The full appointment fee may be charged
Late Arrivals
We understand that delays can happen. If you arrive late for your appointment, we will do our best to accommodate you within the remaining time. However, your session may be shortened to avoid affecting other patients or you may have an extended wait until an appropriate gap in listed appointment becomes available. In some cases, arriving too late may result in the session being classified as a missed appointment and subject to the relevant fee.

Emergencies and Exceptions
We understand that genuine emergencies can occur. In such cases, we assess each situation individually and may waive cancellation fees at our discretion.

You can cancel or reschedule your appointment by:
- Calling the clinic during business hours
- Emailing us during business hours
- Using our online booking system
Please note that cancellations or rescheduling requests left via voicemail will not be accepted. To ensure your request is received and confirmed, kindly contact us during business hours or use our online booking system.
